Changes to the UK VAT Rate

In reponse to a number of questions, the procedure to change the VAT rate from 17.5 to 15% is as follows:

Note: to make the following changes, ALL users must be logged out of the system

In the HLMSW Configuration Editor, select the Edit Invoice/Credit Defaults button on the System Defaults tab.

Select the VAT line and click on the EDIT key

Change the value to 15% and save the changes.

It is important to note that previously entered transactions with the 17.50% VAT rate will not be altered until you edit the invoice details.

Please check the invoices BEFORE printing.

This change should only be made before any invoice is created on December 1st.

Additional mandatory fields

To improve the quality of the data input, people have asked me whether it would be possible to make some more fields mandatory. The fields in question are SINF and perhaps AALTACCNO. I am pretty sure you would not want this in the HLMSW program, but I wondered if it might be possible to do it on a database level; i.e. change the field property from NULL to NOT NULL. Do you think this is possible without doing any harm to HLMSW?

US Tax Rate Changes (July 1, 2006)

Two Changes to the California Tax rates come into effect on July 1, 2006.

CA - City of Laguna Beach (Orange County)

Increase from 7.75% to 8.25%

CA - City of Woodland (Yolo County)

Decrease from 7.75% to 7.25%

Even if you do not have clients within these areas, it is a good idea to keep your tax table up to date.

Below is the procedure to change these values...

Changing an EXISTING Tax Rate (City of Woodland)

1) Locate an Existing Account

In the Account tab, locate and display an account by entering Search mode (F3) and typing "Woodland" into the City Field. If NO account is found, enter a new dummy account and complete the City, State and Country sections (but do not SAVE).

2) Edit the Tax Rate

While in Edit/New mode, click on flashlight icon next to the Tax Code section and the Select Tax Dialog is displayed.

Make sure that the correct tax rate is displayed in the code Window.

Click on the EDIT icon (the green triangle) in the Tax Code Properties section. Click on the Value and enter the new value (7.25). Finally click on the SAVE icon (the floppy disk).

3) Save Changes

Click on the Select Tax Rate and the new tax rate is displayed. The changes to the tax rates are now complete (all customers with the same tax rate will be updated automatically once other HLMSW users log in again) and you can choose to save or abort the saving of any changes to the account.

Creating a NEW Tax Rate (Laguna Beach)

1) Locate an Existing Account

In the Account tab, locate and display an account by entering Search mode (F3) and typing "Laguna Beach" into the City Field. If NO account is found, enter a new dummy account and complete the City, State and Country sections (but do not SAVE).

2) Edit the Tax Rate

While in Edit/New mode, click on flashlight icon next to the Tax Code section and the Select Tax Dialog is displayed.

Click on the NEW icon (the blue cross) in the Tax Code Properties section.
In the Name section add Orange (Laguna Beach).
Leave the Code Section empty
In the Value section enter the new value (8.25). Finally click on the SAVE icon (the floppy disk).

3) Edit the Tax Item Properties

Click on the EDIT icon (the green triangle) in the Tax Item Properties section. Enter a Zip code (92651) in the Section and click on the SAVE icon (the floppy disk).

The Tax Code Screen as per below is displayed.

Select the new Orange (Laguna Beach) option and press OK.

3) Save Changes

Click on the Select Tax Rate and the new tax rate is displayed. The changes to the tax rates are now complete but you must now edit ALL Laguna Beach clients individually to display the NEW Tax Code as they will be pointing to the old (Orange County) code.

Auto-Update with remote access

Access from London works pretty fast and OK with the connection we had set up. However, AutoUpdate does not work from here (I'm in London till Wednesday). Error message is "Update Location is not valid". This may be a firewall issue. Could you tell me which ports we will need to open for the AutoUpdate? Thanks!

Refreshing MS SQL

MS SQL is a solid and dependable system, but for its ongoing reliability, it is recommended that you occasionally (weekly) stop and start the MS SQL database if you are not already doing so for backup purposes.

This is most easily accomplished through a batch file which is called via the Scheduled Tasks function in windows.

A sample of this batch file is below. The addition of the AUTO parameter should be used when using this in the scheduled event to avoid being prompted to continue. It is important that this is run at a time when no user is likely to be in the system.

Entries in SEND BY-List disappeared

For the second time now the first entry in the carrier list has disappeared. As the entries cannot be deleted by the users, I feel worried how this could have happened. Is there a limit of entries that deletes the first entry when a new one is added at the end of the list? I had amended the list for Heidler a while ago and was told yesterday that the "empty" entry had disappeared a while ago, so I input a new one at the end of the list. Today they tell me that "UPS Standard frei" has gone. I have added the entry again and put it in the order as it was before. But can you think of any user action that removes entries from the Send By list? Thanks!

Orchestration Template not visible

I tried to set up an orchestration template for MDS (called MDS, in the HLMSW folder). This template was saved and is visible and usable when logging in as a Schott user, but when logging in as a MDS user no templates are displayed, though the checkbox "All Companies" is ticked and though the template was set up from a MDS user. How can the template be made visible?

Not enough instruments

We have two problems with the orchestration:

1) The list of instruments as it is (the windows that opens when inserting the orchestration to a work or set) needs to be re-organized. Both the sequence and the hierarchy of instruments are more or less confusing. Is there a way to do this without doing sinister things directly in the database?

2) There seems to be a limit to the number of instruments which we have reached. When trying to input a new extension, we get an error message: "Unable to create new instrument - all available spaces are used." Is there any way to add new extensions or instruments, though?

We could perhaps delete some of the existing instruments, but how can I check whether these are used for a work/set/transaction?

Report Editor Question

When I send NSOs via e-mail, the document always comes up with a signature that says, "Kind Regards, Adam Harvey". If you go in to the report editor you can right click on certain fields and edit the text. But, not on this field.... Can you explain how to change this? I'd like to know the steps for future reference. Thanks.
